The Project Coordinator is part of a client program management team, managing programs consisting of multiple projects for our multi-site client. This role assists the clients Project Team with the documentation, administration and for overseeing the liquidation and signage vendors who facilitate the decommissioning of our clients retail locations. The Project Coordinator (PC) will be responsible for reviewing reports and coordinating between vendors and stakeholders for all aspects of work within the assigned portfolio. The ideal candidate should be capable of monitoring project progress, assisting with compliance of project standards, and facilitating communication between the project team and stakeholders.
This Sevan client-support position and will work a hybrid schedule in our clients office in Irvine, CA in collaboration with the client team. The position will require being 50% office based.
Essential Duties and Responsibilities:
- Act as the Sevan client liaison for ongoing construction projects.
- Collaborate efficiently with the client-teams in-person, virtually, and in the field.
- Sets up projects in Client and/or Company project management systems, including all required project documentation.
- Updates status of projects and key milestone dates in Client and/or Company project management systems.
- Leads or assists in drafting, distributing, and tracking of Contracts, Purchase Orders, and Change Orders to subcontractors/suppliers.
- Maintains project documentation throughout duration of project.
- Verifies and manages payment to contractors and vendors during construction.
- Responsible for acquiring, coordinating, and submitting owner required close-out documents for project closeout and final contractor/supplier payments.
- Assembles and distributes reports for internal and external customers.
- Maintains confidentiality with sensitive or proprietary information on behalf of project team.
Qualifications:
- 2-4 years professional work experience within the multi-site or commercial construction industry
- Experience in multi-site construction projects preferred.
- Ability to be client facing
- Construction and restaurant (QSR / chain restaurant) coordination experience a plus.
- Excellent communication skills in-person and virtually.
- Ability to read, analyze, and interpret complex documents.
- Excellent interpersonal skills.
- Working knowledge of data analysis within Microsoft Excel and email management tools within Microsoft Outlook.
- Experience with Smartsheets highly preferred.

- Ability to communicate well, both verbally and in writing, with all levels of the project team including management, project management, clients, client’s organization, contractors, and vendors.

- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization may exist.

Pay & Benefits: The anticipated compensation range for the position is $60,000 - $85,000, is based on a full-time schedule, market and business conditions, and is commensurate on individual education, qualifications, and experience. Benefits include medical, dental, vision, life, and disability insurances, flexible paid time off, paid holidays, sick time, and a matching 401K plan.
